⭐️ 732 meetings booked across our accounts last month. Scale is the point ⭐️

Steal this first (your quick win)

The next client you onboard, run this one prompt instead of a kickoff week:

Store a new brand profile for [client]. Their company: [x]. Their ideal client: [title, industry, size]. Their offer: [x] and the outcome it gets: [x]. Their tone: [paste 5 examples of their writing]. Never claim: [x].

Fifteen minutes, and every campaign, message, and post for that client is grounded in it from then on. That prompt is the whole playbook in miniature: the client becomes a profile, and the profile does the remembering.

The old model vs the new one

The old agency model scaled with headcount. More clients meant more people copy-pasting messages in more browser tabs, and your margin lived and died on VA turnover.

The new model: each client is a brand profile Claude stores once. Lead lists build from a sentence. Sequences draft in each client's voice. One inbox view flags the replies that need a human across every account. Reporting is a prompt.

All of it runs API-native through Reachium. Every client account connects properly, no shared logins, no browser extensions on client accounts.

The weekly routine for 10 accounts, solo

d6-02-weekly-routine-campaigns.png

One sitting per client, 15 minutes each:

"Top up [client]'s lead list to 100, same ICP" then approve it

Review and approve this week's drafted messages in their voice

Skim their campaign numbers for anything weird

Daily, 30 minutes total across all accounts:

"Across every account, show me the replies where someone asked a question, mentioned pricing, or sounds interested. Draft a suggested reply for each."

Answer the hot ones (or route them to the client, per your service model)

That is 10 clients on roughly 3 hours a week of delivery time. The rest of your week goes to selling and strategy, which is the part clients actually pay premiums for.

The margin math

Worked example, the old way: 10 clients x 8 hours of delivery each per week = 80 hours. That is two full-time VAs plus your management time. At $1,500/mo per client, your margin is whatever the VAs leave behind.

The new way: 10 clients x 1.5 hours each + 2.5 hours of daily inbox = about 18 hours a week, one operator.

Your turn:

[your clients] x [your delivery hours each] = [old weekly hours]
[your clients] x 1.5 + 2.5 = [new weekly hours]
([old] - [new]) x [your hourly value] = what this is worth to you per week

Reporting clients love

d6-03-reporting-dashboard.png
Summarize this month for [client]: sends, acceptance rate, reply rate, calls booked, and the 3 best conversations. Write it as a short, client-friendly update.

Sixty seconds per client, and it reads better than the report you used to spend Friday afternoons on. Send it with a screenshot of their dashboard.

Pricing: outcomes, not hours

When delivery stops eating your week, hourly pricing works against you. Price the outcome instead: per booked call, or a retainer sized to a monthly call target. Your incentives line up with the client's pipeline, and the efficiency you just built becomes margin instead of a discount.

The honest guardrail: never price on outcomes you have not proven you can hit. Run the first client month conservative, get the real numbers, then price from them.

The close: you are building an asset

Every client funnel accumulates warm first-degree connections at zero invite cost. Every account you run makes the next one faster to onboard. Look at the network view after three months of this and you are not looking at a service business anymore. You are looking at distribution.
