Preparing a LinkedIn Account for Outreach

What it does: turns a LinkedIn profile into an account that can send safely and get replies.

Run it when: a new account joins the workspace, or an existing one has never run outreach.

Time: about 45 minutes of profile work, then two to three weeks of warm-up running quietly in the background.

Depends on: SOP 02, Defining the ICP and the Offer, because the profile is written for the buyer defined there.

Before you start

A decision on whether this account needs a Sales Navigator seat

A booking link you are happy to put in front of strangers

The steps

1. Rewrite the headline for the buyer, not the recruiter.

Every connection request you send pushes someone to your profile, and the headline is the first thing they read. It is also indexed by LinkedIn search, so the words your buyer would type belong in it. Name who you help and what changes. Job-title-only headlines and "Founder | Entrepreneur | Speaker" stacks say nothing and rank for nothing.

2. Fix the two-second skim.

Banner, profile photo, and the first two lines of the About section are what get read before someone decides to reply. The rest of the About is read by almost nobody. Put the offer in those two lines. Pin one resource to Featured, ideally the document from SOP 21, so the profile does a job even when you are not in the conversation.

3. Connect the account to Reachium.

Add it on the Accounts page, or generate a connect link if someone else owns the login. It has to come back connected with status OK before it can be attached to anything. A disconnected sender silently stalls a campaign, so check this before you build, not after.

4. Decide the seat type.

A Basic seat handles standard LinkedIn search scrapes, post commenters and reactors, company engagement, and content search. A Sales Navigator seat is only required to scrape a Sales Navigator search URL, and one such seat in the workspace is enough, because the scrape runs from whichever account holds it. Paying for Sales Navigator on every seat is money spent on nothing.

5. Set working hours and a timezone.

An account that has never had working hours configured is unrestricted, which means it will happily send at three in the morning local time. Unrestricted is not a neutral default; it is the most obviously robotic sending pattern available. Set a normal working window in the account's own timezone.

6. Warm up before you scale.

A fresh account under roughly 50 connections starts at 5 connection requests a day. An established account starts at 10 to 15. Raise by about 5 every three to five days, and vary the step and the time of day so the ramp does not look scripted. The ceiling is 25 a day and it is a hard one.

7. Post something before you send anything.

Outreach drives profile views, and a profile with no activity in six months reads as abandoned or automated. One or two posts before the first campaign changes what people find when they check you out.

8. Work out the account's real capacity.

One account is 25 connection requests and 50 messages a day, maximum, shared across every campaign it sends from. If the plan needs more than that, the answer is more sender accounts, up to 10 on a campaign: your own accounts first, or pre-warmed rented accounts at $150 a month, imported within 48 hours and replaced within 72 if one is ever banned.

Do this / Not this

Do this

Not this

Headline naming the buyer and the outcome

"Founder | Entrepreneur | Coffee lover"

Ramp a fresh account from 5 a day over two to three weeks

Send 25 on day one because the cap allows it

One Sales Navigator seat for scraping

Sales Navigator on every seat

Set working hours explicitly

Leave them unset and assume nine to five

Add sender accounts when volume is short

Look for a way to raise the daily cap

Publish a post or two before the first send

Send from a profile with no activity since 2023

Check the account reads connected before building

Discover the sender was disconnected after 400 leads stalled

Done when

Headline, banner, photo and first two About lines rewritten for the ICP

One resource pinned to Featured

Account shows as connected in Reachium with status OK

Seat type decided, and Sales Navigator only where it is actually needed

Working hours and timezone set

Warm-up schedule agreed and started, with a date for reaching full volume

Daily capacity written down, and the number of senders the plan needs
